Choosing a Team Member Access Level

Every team member with a login has one access level, which decides what they see inside Appointible. Pick the level that matches the job, then adjust individual permissions only if that person is an exception.

Open the team member

  1. Click Settings in the left menu and, under Workspace, select Team.
  2. Click the team member's name to open their details.
  3. Scroll to the Permissions section.

Give them a login

New team members have no login until you give them one.

  1. Switch Team member can login? on.
  2. Check that an email address is filled in above. The invitation goes there.

The access level and permissions appear once the switch is on. With it off, there is nothing to permit — the person can still be booked and still appears on the calendar.

Pick an access level

Switching the login on starts everyone at Full access. Narrow it from there under Role.

LevelWhat they see
Full accessEverything, including Settings and Billing
Service provider accessTheir own calendar and clients, plus Dashboard and Inbox
Front desk accessEvery calendar, full client records, and Reports
Marketer accessCampaigns, Reports and Apps, and only their own calendar
Custom accessWhatever you set by hand

Click a level to apply it.

Info

Service provider access appears only for a team member who has a calendar of their own. Switch Enable Calendar on, higher up the same tab, and the level appears.

Warning

Only Full access can reach Settings and Billing, or delete client records. Those are the permissions that separate running the business from working in it.

Adjust individual permissions

Individual permissions are shown only under Custom access. Click Custom access and the permission groups open below, starting from everything the previous level granted. Each group states what it currently grants, so you can read the list without opening anything.

  1. Click a group to open it.
  2. Turn individual permissions on or off.

The groups are:

  • Locations — which locations this person works at. Shown only when the account has more than one.
  • Day-to-day — Calendar access, plus Dashboard, Inbox and Logbook.
  • Clients — what shows on a client card, and whether this person can delete client records.
  • Marketing, Reports and Settings — Marketing, Reports and Settings, with Subscription & invoices and Integrations inside Settings.

Full access grants everything by itself, so no permissions are listed under it. Choosing Custom access marks this person as an exception rather than one of the standard levels.

Set calendar access

Calendar access sits inside the Day-to-day group and has three options:

  • All — sees every team member's appointments.
  • Personal calendar — sees only their own. Available to a team member who has Enable Calendar switched on.
  • No calendar access — the calendar is hidden entirely.

Save

Click Send invitation for a new team member, or Save when editing an existing one. A new team member receives an email invitation at the address you entered.
