Inviting an additional admin team member in Appointible takes a couple of minutes. Decide first what this person should see and manage – calendars, clients, settings, or everything.

Opening Team Members

Start by going to the Team page. There are two quick ways to get there.

Invite from Home

From the Home page:

  1. In the Get ready to take bookings card, click Add your team. This opens the Team page.
  2. Click Add team member. This opens the Add team member form.

Invite from Settings

  1. Click Settings in the left menu.
  2. Under Workspace, select Team to open the Team page.
  3. Click Add team member.

Adding Admin Details

Enter basic information

In the Add team member form, fill in the main details for the new admin:

  • First name and Last name – how this person will appear in the account and calendar.
  • Email – this is where the invitation will be sent.
  • Phone (optional) – helpful for internal reference and notifications.

Note: A valid, unique email address is required so the new admin can receive the invitation and log in.

Enable Calendar switch

Above Permissions there is a switch called Enable Calendar. It is on by default for a new team member.

  • Turn it on if the admin will appear on the Calendar as a service provider with their own calendar.
  • Turn it off if this is a back-office or management admin who will not provide services to clients.

This answers what the person does, not what they may see, so no role changes it. It does decide whether Service provider access is offered as a role — that role is built around a calendar of their own.

Choosing Admin Permissions

Turn the login on

Permissions only apply to someone who can sign in.

In the Permissions section, turn Team member can login? on. A new admin starts at Full access, and an email address is required before the invitation can be sent.

Pick a role

Role offers five cards, and exactly one applies at a time:

  • Full access – everything, including settings and billing.
  • Service provider access – their own calendar and clients, plus dashboard and inbox. Offered only when Enable Calendar is on.
  • Front desk access – every calendar, full client records, and reports.
  • Marketer access – campaigns, reports and apps. Their own calendar only.
  • Custom access – set each permission individually.

For most admins one of the first four is the whole answer. Pick the closest one and stop there.

Fine-tune with Custom access

The individual permissions appear only under Custom access. Full access grants everything by itself and does not read the individual permissions at all, so there is nothing to adjust underneath it.

  1. Click Custom access. The role moves off Full access, and the permission groups open below it starting from everything switched on.
  2. Open a group and switch off what this admin should not reach:
    • Locations – every location, or only selected ones.
    • Day-to-day – Calendar, Dashboard, Inbox, Logbook.
    • Clients – Basic details, Phone number & email, Prices, Photos, Notes, Appointments history.
    • Marketing, Reports and Settings – Marketing, Reports, Settings, and the two destinations inside Settings: Integrations and Subscription & invoices.

Each group header reports what it currently grants, so the list can be read without opening it.

Switching Settings off also takes Integrations and Subscription & invoices with it; granting either one switches Settings back on.

To hand this admin a whole role again later, click that role's card. The groups close and the role applies in full.

When everything looks right, click Send invitation.

Invitation And Login

Invitation email

After sending the invite, the new admin receives an email with an Accept invitation button.

They simply need to:

  1. Open the invitation email.
  2. Click Accept invitation.
  3. Create a password and finish the sign-up steps.

Using the mobile app

The new admin can also complete the invitation using the Appointible for Business mobile app.

  1. Install the app from this link: Download Appointible for Business Mobile App - Appointible.
  2. On the mobile device, open the invitation email.
  3. Tap Accept invitation. This opens the Appointible mobile app.
  4. Set a password and finish the account setup.

If the invitation email does not arrive, ask the new admin to check the spam or promotions folder, and confirm that the email address on the Team page is correct. While the invitation is pending, the three-dot menu next to the team member offers Resend invitation.
