Adding Bookable Team Members
Inviting a new team member who can be booked is a quick process: add their details, choose what they can access, assign services, and set working hours. After that, clients can start booking appointments with them from the calendar.
Open Team Members
First, open the team management page in Appointible.
- Click Settings in the left menu.
- Under Workspace, select Team.
Add Team Member
On the Team page, click Add team member in the top right corner.
Enter Details
Next, fill in the basic information for the new team member.
- First name, Last name and Title – what clients will see when booking.
- Location – where this team member will perform services. This field appears only when the business has more than one location.
- Email – required if the team member should log in to Appointible.
To upload a profile picture, click the pencil icon next to the avatar.
Important: If an email address is added and access is enabled, an invitation email is sent so the new team member can join the team and log in.
Keep Enable Calendar switched on – it is on by default for a new team member. It gives them a calendar of their own, and only then do the Services and Work schedule tabs appear. Available in Booking Website decides whether clients can also book this team member online.
Set Permissions
This step controls what the team member can see inside Appointible.
- Turn Team member can login? on. Leave it off for someone who should be bookable but never sign in – they still appear on the calendar and can take appointments. Turned on, the login starts at Full access.
- Under Role, pick the card that matches what this person does:
- Full access – everything, including settings and billing.
- Service provider access – their own calendar and clients, plus dashboard and inbox. The usual choice for a bookable team member.
- Front desk access – every calendar, full client records, and reports.
- Marketer access – campaigns, reports and apps. Their own calendar only.
- Custom access – set each permission individually.
Start with the role that matches the job and stop there; less is usually more. Only reach for Custom access when a real responsibility does not fit one of the four.
Choosing Custom access opens the permission groups below – Locations, Day-to-day, Clients, and Marketing, Reports and Settings – starting from everything the previous role granted. The individual permissions are shown only there. Full access grants everything by itself and does not read them, so they do not appear underneath it.
Each group header states what it currently grants, so you can check the list without opening it.
Assign Services
To make a team member bookable, at least one service must be assigned.
- Open the Services tab of the team member.
- Select which services this team member can provide.
- Optionally, click Add service to add a new service tailored to this person.
Once services are assigned, this team member can be selected in the Calendar when creating appointments.
Set The Work Schedule
The work schedule controls when this team member can be booked on the calendar.
A new team member starts with a work schedule from today that copies the business hours of their location. To customize it:
- Open the Work schedule tab.
- Click Edit on the schedule to change its days and times, or click Add schedule to set different hours for another period.
- Set the days and times when this team member is available for appointments.
Match these hours to the real schedule as closely as possible, so nobody is booked at 7 am on a Sunday unless that is the plan.
Send Invitation
When everything looks good, finish the setup.
- Review details, permissions, services, and work schedule.
- Click Send invitation. If Team member can login? is off, the button reads Create and no invitation is sent.
The team member receives an email with a link to join the team. After accepting the invite, they can log in, and appointments can be created for them in the Calendar.
